Design Service Policies

Effective August 24, 2026

Thank you for choosing VeraMelinda Designs. These policies are intended to provide clear expectations for both VeraMelinda Designs (“VMD”) and our clients throughout the design process.

By purchasing a VeraMelinda Designs service, you acknowledge that you have read and agree to the policies below.

1. Pay First, Then Consult

VeraMelinda Designs operates on a Pay First, Then Consult basis.

A Design Service must be purchased before the consultation and project-development process begins. After purchase, the client will be directed to complete the Design Consultation Form and provide the required order information, project details, and applicable files or visual references.

Purchase of a Design Service does not eliminate the client's responsibility to provide the information VMD needs to complete the project.

2. Client and Order Verification

Clients may be required to provide their:

  • First and last name
  • Purchase Order or Confirmation Number
  • Design Service number and title
  • Email address associated with the order

The person purchasing the service must be the business owner or be authorized to act on behalf of the business or organization for which the work is being created.

VeraMelinda Designs services may not be purchased for undisclosed resale, white-labeling, or third-party client work.

VMD reserves the right to request additional verification when reasonably necessary to protect the client, VeraMelinda Designs, or the integrity of the project.

3. Accurate and Complete Information

Clients are responsible for providing accurate and complete information regarding their business, project, requested wording, contact information, audience, branding, deadlines, and other project requirements.

VMD is not responsible for errors resulting from inaccurate, incomplete, outdated, or misleading information supplied by the client.

If information changes after work has begun, additional work resulting from those changes may require an additional fee, paid add-on, or new Design Service purchase.

4. Photos, Logos, Files and Visual Materials

Clients are responsible for providing clear, usable photographs, logos, written content, graphics, and other materials required for their project.

The client represents that they own, have permission to use, or otherwise have the legal right to provide any materials submitted to VeraMelinda Designs.

Poor-quality, incomplete, corrupted, inaccessible, or unusable materials may delay a project or prevent certain requested results.

When files exceed the upload limits of the Design Consultation Form, VMD may instruct the client to send them to the designated VeraMelinda Designs email address along with the client's name, order number, and Design Service information.

5. Project Timing and Client Delays

Project completion times depend upon the type and complexity of the Design Service purchased.

Any estimated completion period assumes that the client provides all required information, files, approvals, and responses within a reasonable period.

Client delays may extend the project timeline.

If a client fails to provide necessary information or respond to VMD communications for an extended period, the project may be placed on hold until the client responds.

Deadlines involving outside printers, manufacturers, shipping companies, or other third-party providers cannot be guaranteed by VeraMelinda Designs.

6. Revisions

The revisions included with a Design Service are limited to the revisions provided for that service or otherwise communicated to the client as part of the project.

A revision is a reasonable change to work already created based upon the client's original project request.

A revision is not a complete redesign, a new concept, a major change in direction, or the addition of work that was not part of the original purchased service.

Changes beyond the included scope or revision allowance may require a paid add-on or the purchase of an additional Design Service.

Clients should carefully review proofs and requested changes before giving final approval.

7. Client Approval

When VMD submits a design, proof, draft, or other work for approval, the client is responsible for carefully reviewing:

  • Spelling
  • Names
  • Telephone numbers
  • Email addresses
  • Website addresses
  • Dates
  • Prices
  • Business information
  • Images
  • Layout
  • Other project details

Once a client gives written approval for a final design, changes requested afterward may require additional payment.

VeraMelinda Designs is not responsible for errors that were visible in a proof or final design that the client reviewed and approved.

8. Cancellation and Refunds

No Automatic Right to a Refund

Because Design Services involve professional time, creative labor, planning, research, consultation, design development, and other work performed specifically for an individual client, purchasing a Design Service does not create an automatic right to a full refund.

Before Work Begins

If a cancellation request is received before substantive work on the project has begun, VMD will review the project status and determine the refundable amount.

Any actual nonrefundable payment-processing charges or third-party costs already incurred may be deducted from an approved refund where permitted.

After Work Has Begun

Once work has begun, the percentage of any refund will be based upon the amount of work that has already been performed and the amount of detail that has been completed on the project.

VMD will maintain documentation of the project's progress so that the work completed at the time of cancellation can be identified.

Projects are evaluated according to the applicable stages of work for the Design Service purchased, which may include activities such as:

  1. Order review and project setup
  2. Client information and material review
  3. Consultation and project planning
  4. Research and creative development
  5. Initial concept or design development
  6. Detailed design work
  7. Revision and refinement
  8. Client proof or approval
  9. Final preparation and delivery
  10. Printing, production, or third-party fulfillment when applicable

Not every Design Service requires every stage. The actual work performed for the service purchased will determine the amount of the project that has been completed.

The more work and detail that has already been completed, the smaller the refundable portion of the purchase price may be.

Completed and Delivered Work

Once the purchased Design Service has been fully completed and the final deliverable has been provided to the client, the completed service is generally nonrefundable.

9. Printing, Production and Third-Party Services

Unless printing, production, manufacturing, shipping, or another physical service is specifically included in the Design Service purchased, the purchase is for the stated design service only.

When VMD coordinates or uses a third-party printer, manufacturer, production company, shipping carrier, or other provider, that provider's production schedules, availability, shipping times, and other limitations may affect completion.

VMD will make reasonable efforts to work with reputable providers but cannot guarantee circumstances that are outside VeraMelinda Designs' control.

Actual third-party costs already incurred are nonrefundable once those costs cannot be recovered by VMD.

10. Digital Deliverables

Final digital deliverables will be provided in the format appropriate for the Design Service purchased.

Editable working files, source files, templates, drafts, unused concepts, internal project files, and other developmental materials are not automatically included with the final deliverable unless they are specifically included in the purchased service or separately authorized in writing by VeraMelinda Designs.

11. Copyright, Ownership and Client Usage

Unless otherwise agreed to in writing, VeraMelinda Designs retains the copyright to original design work created by VMD.

Upon full payment and completion of the project, the client receives the right to use the final approved deliverable for the business or purpose for which it was created.

This is a Final Deliverable Usage License. It does not automatically transfer ownership of VMD's working files, drafts, unused concepts, design methods, templates, source materials, or other intellectual property.

The client may not falsely claim authorship of VeraMelinda Designs' original work.

12. Use of VMD Work by Other Designers or Companies

VeraMelinda Designs work may not be transferred to another designer, design company, marketing company, agency, or other third party for the purpose of modifying, recreating, reproducing, continuing, or developing VMD's work without appropriate written authorization from VeraMelinda Designs Executive Management.

This provision protects the integrity of VMD's original work and does not prevent the client from using the approved final deliverable for its intended purpose.

13. Portfolio and Promotional Use

Unless a written confidentiality arrangement has been approved, VeraMelinda Designs may display completed work in its portfolio, website, social media, promotional materials, presentations, or other examples of VMD's work.

Confidential, private, or unreleased information that VMD has specifically agreed in writing to protect will not be intentionally disclosed for promotional purposes.

Portfolio use does not transfer the client's business ownership, trademarks, or other client-owned intellectual property to VeraMelinda Designs.

14. Professional Communication and Conduct

VeraMelinda Designs is committed to treating clients professionally and respectfully and expects the same standard of communication in return.

Threatening, abusive, discriminatory, harassing, intentionally deceptive, or otherwise seriously inappropriate conduct toward VMD representatives will not be tolerated.

VMD reserves the right to discontinue working with a client when continued communication or performance of the project becomes unreasonable or unsafe.

If a project is discontinued for this reason, any refund consideration will still be based upon the documented amount of work already completed and any nonrecoverable costs already incurred.

15. Communication Hours and Response Expectations

VeraMelinda Designs responds to customer communications during its published business and communication hours.

Messages received outside those hours, including evenings, weekends, holidays, or periods when staff is unavailable, will be addressed when normal business operations resume.

Submitting multiple messages regarding the same matter does not necessarily result in a faster response.

Existing Design Services customers should include their name, Purchase Order or Confirmation Number, and Design Service number and title when contacting VMD regarding an active project.

16. Additional or Out-of-Scope Work

The purchase price of a Design Service covers the work described within that service.

Requests that substantially change the original project, add new deliverables, introduce a new design direction, require work outside the purchased scope, or create an additional project are not automatically included.

Depending upon the request, the client may be required to purchase:

  • A Design Service Add-On, or
  • A separate Design Service.

VMD will inform the client when a request falls outside the scope of the original purchase before proceeding with the additional work.

17. Policy Acknowledgment

Before VeraMelinda Designs begins work on a Design Service project, the client must read and acknowledge the VeraMelinda Designs Design Service Policies.

The client must complete the Design Services Policy Acknowledgment form and type YES to confirm:

“I have read and agree to the VeraMelinda Designs Design Service Policies.”

Submission of the acknowledgment confirms the client's acceptance of these policies.

VeraMelinda Designs will not begin work on the Design Service until the required policy acknowledgment has been received.

By submitting this form, you confirm that you have read and agree to the VeraMelinda Designs Design Service Policies.
